iON Event Code of Conduct

Purpose
At iON, we believe partnerships and events should reflect shared values—respect, integrity, accountability, and mutual success. This Code of Conduct outlines expectations for behavior at iON-hosted or affiliated events to ensure a safe, inclusive, and professional experience for everyone.
Scope
This Code applies to all individuals and organizations participating in iON events, including vendors, clients, service providers, consultants, and partners—whether in-person or virtual.
Core Principles & Conduct Expectations
Respect & Inclusion: Treat all participants with courtesy and fairness, regardless of gender, race, age, ability, religion, sexual orientation, or background. Harassment, intimidation, or discriminatory behavior in any form will not be tolerated—whether in person, online, or on social platforms.
Professionalism & Integrity: Represent your organization—and iON—honestly and respectfully. Maintain clear and timely communication, meet commitments, and disclose any potential conflicts of interest. Misrepresentation of services, misuse of the iON brand, or false claims are strictly prohibited.
Confidentiality & Legal Compliance: Respect confidential information and comply with all applicable laws and regulations—including those related to privacy, anti-bribery, labor standards, and fair competition.
Social & Environmental Responsibility: Act ethically and sustainably. Promote inclusivity, reduce waste, and treat all workers and attendees with fairness and dignity.
Event Conduct
When participating in iON-sponsored or co-branded events, all attendees are expected to:
- Behave professionally and engage respectfully with others.
- Follow all event rules, venue policies, and security protocols.
- Ensure booths, displays, and promotional materials are appropriate, inclusive, and non-disruptive.
- Keep event spaces clean and safe.
- Avoid unauthorized sales, giveaways, or the use of others’ intellectual property.
- Serve alcohol or restricted items only with prior approval and required licensing.
Non-compliance may result in removal from the event or restrictions from future participation.
Personal Conduct
All representatives must:
- Maintain a professional appearance and demeanor.
- Limit alcohol use and avoid illegal substances at all times.
- Handle disagreements calmly and through proper channels—escalating to iON staff when needed.
Reporting & Compliance
Responsibility to Report: Anyone aware of a suspected or actual violation of this Code must report it promptly to an iON Leadership Team member.
Policy Review: This Code will be reviewed annually or as needed to ensure it remains current and effective.
Acknowledgment
By registering for or participating in an iON event, you acknowledge that you have read, understood, and agree to comply with the iON Event Code of Conduct. iON may update this policy from time to time, and any changes will be communicated as needed.
Event-Specific Privacy Addendum
Information Collected for Events
When you register for or attend an event hosted or co-hosted by iON United Inc. (“iON”), we do not collect additional personal information beyond what is provided during registration. The information collected at event registration (such as name, email address, phone number, company, job title, and related contact details) will be used to facilitate your participation in the event, communicate event details, and otherwise administer the event. This data is handled in accordance with our general Privacy Policy.
Sharing Your Information with Sponsors and Partners
As part of our event operations, we may share the personal information you provide at registration with event sponsors and strategic partners for legitimate event-related purposes, including networking, follow-up communication, special offers, and relevant product or service information. These sponsors and partners are independent entities with their own privacy practices; please review their respective policies if you have questions about how they handle and use your information.
Sponsors and partners operate independently and maintain their own privacy practices. iON is not responsible for how third parties handle or use your information once shared. A list of sponsors can be sent upon request.
Photography and Video at Events
iON and/or authorized third parties may take photographs, video recordings, or other audiovisual materials during events that may include attendees, speakers, sponsors, exhibitors, or other participants. By registering for and attending an event, you acknowledge and agree that:
- Event photography and videography may occur in public spaces or session areas.
- Images or videos in which you appear may be used by iON for promotional purposes, including but not limited to marketing materials, our website, social media, newsletters, and other communications.
- Your participation in such images and recordings does not entitle you to compensation.
Opt-Out and Privacy Preferences
If you do not wish to have your contact information shared with event sponsors and partners or do not want to be included in event photography/video used for promotional purposes, you may notify iON’s Events Team in advance of the event or at registration. We will make reasonable efforts to respect your preferences. However, certain uses relating to event administration may still occur as necessary to provide the services you registered for.
